Privacy Policy
Who we are
This Privacy Policy describes how Top Cheddar LLC ("we", "us", or "our") collects, uses, and shares information when you use the FlipMail product and websites at flipmail.ai and app.flipmail.ai (together, the "Service").
Information we collect
Account and billing. When you register or subscribe, we collect information such as your name, email address, company name, authentication identifiers from your sign-in provider (for example Google), and payment-related details handled by our payment processor.
Device and usage data. When you use the Service, we automatically collect information such as browser type, IP address, general location derived from IP, time zone, device identifiers, and how you interact with the Service (pages, features, and diagnostic events).
We use cookies and similar technologies where needed for session security, preferences, and analytics. You can control cookies through your browser settings.
Email data and inbox access
When you connect Gmail, you authorize FlipMail through Google OAuth using the Gmail API scope
https://www.googleapis.com/auth/gmail.modify. That scope allows us to read message metadata and
content from your mailbox (we focus on non-Sent mail for inbound workflows), create drafts in Gmail, and send
messages on your behalf when you take explicit action in the Service or configure a setting that permits
sending.
We store email data when you choose retention options that keep bodies so you can see helpful context in the FlipMail interface (for example thread text, scores, and drafts). We use Gmail to save drafts and to send replies from the FlipMail UI when you send. We never send email without you taking action in the product or enabling a setting that allows the send.
Retention choices. In the product you can choose how long we keep full message content: storing all imported email we process, storing full content only for messages we classify as cold inbound (the default, so you can read pitches in FlipMail), or minimizing stored bodies while retaining derived metadata needed for the product and billing. Exact behavior is shown where you set the option.
FlipMail's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
If you delete your account, we delete or anonymize personal data associated with your workspace subject to legal retention requirements, as described in this policy.
AI and your content
Some features send text derived from your inbox (for example subject lines and message excerpts) to our inference stack. We route requests through OpenRouter, which may call foundation models from providers such as OpenAI, Anthropic, and others depending on configuration. We do not use your content to train our own models for unrelated products. We have configured provider-side settings so our partners do not train on your data for their models, consistent with applicable provider terms.
We do not use your email message content to train generalized machine learning or large language models for unrelated products. Processing is performed to deliver FlipMail features you request (for example classification, scoring, and draft generation) under your instructions as the account holder.
Human access to your email
FlipMail employees do not access the contents of your mailbox or stored message bodies in routine operations. Access may occur for support when you contact us and explicitly ask us to review specific material to troubleshoot an issue you raised.
How we use information
We use information to:
- Provide, maintain, and improve the Service, including scoring, drafts, and analytics you enable;
- Authenticate users, secure accounts, prevent fraud and abuse;
- Communicate with you about the Service, support, and policy updates;
- Process billing and fulfill subscriptions;
- Comply with law and enforce our terms.
Analytics
We use PostHog to understand feature usage and product performance. You can read PostHog's privacy practices here: https://posthog.com/privacy.
Sharing of information
We share information with service providers who help us operate the Service (for example hosting, email delivery, payments, analytics as described above, and AI inference providers as described under AI and your content), subject to contracts that require appropriate safeguards.
We may disclose information if required by law, legal process, or to protect the rights, safety, and security of Top Cheddar LLC, our users, or others.
We do not sell your personal information.
Your rights
You can disconnect a connected mailbox in FlipMail, adjust email retention settings, revoke FlipMail's access to your Google account in Google Account security settings, or delete your FlipMail account. When you remove a mailbox or delete your account, we wipe email content and related records stored for that mailbox or workspace in FlipMail, subject to any legal retention we are required to maintain.
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. To exercise these rights, contact us at [email protected].
If you are in the European Economic Area or United Kingdom, we process information as described here and may rely on performance of a contract, legitimate interests, or consent as appropriate. Information may be processed in the United States and other countries.
Retention
We retain information for as long as your account is active or as needed to provide the Service. Retention of email content follows the options you select in the product (see Email data and inbox access). We may retain certain records longer where required for security, compliance, or legitimate business needs (such as billing records).
Security
We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission over the Internet is completely secure.
Children
The Service is not intended for anyone under 18. We do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and adjust the "Last updated" date.
Scope
This policy applies to flipmail.ai and app.flipmail.ai. Linked third-party sites are governed by their own policies.
